TITLE: Administrative and Property Manager Assistant

REPORTS TO: Property Manager and Accounting Manager

FLSA Status: Non-Exempt

  • Basic Function: As the first point of contact for Charter Real Estate Services, Inc. the Administrative Assistant/ Receptionist is responsible for assisting tenants and clients, either current or prospective, with their questions or issues. Employee must demonstrate professional appearance, and attitude always.

Essential Functions and Responsibilities include but are not limited to: Administration

  • Answer phones by 2nd ring and greet visitors in a professional and :friendly manner.
  • Communicate work orders or tenant requests to the manager and the maintenance department. Entering in Appfolio as needed.
  • Assist with office letters and other mailings.
  • Prepare out-going mail by recording postage fees for quarterly billing and take to the drop box daily.
  • Pickup, sort and distribute mail daily.
  • Enter Bills into Appfolio ensuring proper coding.
  • Assist Property Manager and Accounting Manager with various projects, running of reports, and organization.
  • Keep conference and break room clean and ready for use at any time.
  • Reporting and Record Keeping

Maintain commercial key log.

  • Enter in Updated Insurance if it arrives via mail.

Accounting and Key Concerns

  • Create invoices for Third Party Work Orders as needed.
  • Enter in Lowes receipts and code.
  • Enter in all invoices daily.
  • TRW's - Tenant requested work- Billbacks-every two weeks.

Leasing and Brokerage

  • Direct phone calls to Leasing and Sales Agent.
  • Retain knowledge of properties that we have listed for sale or lease but not managed by Charter.

Qualifications:

  • High School education or equivalency required.
  • 1 year bookkeeping experience

Working Conditions and Environment/Physical Demands:

  • Must have reliable transportation.
  • Valid Texas state driver's license required.
  • Ability to communicate effectively with tenants, owners, co-workers, and vendors.

Strong critical thinking skills and ability to multi-task effectively required
